PHOTRA START / PORTAL INFORMATION

A clear framework.
For working together.

Version 2026-10-06

Offer review, order and payment

After you submit the complete inquiry, we send private access via Brevo. For standard packages, select scope, languages and billing address; complete contract documents are then created automatically. Special requirements can be clarified personally. After confirming your mailbox, you can request a detailed email containing your information and the identified offer version before paying. Approved offers include scope, exclusions, prices, tax treatment, schedule, payment plan and contract documents. Only explicit confirmation using “Place a binding order with obligation to pay” creates an order. Opening a link or requesting an email places no order. The acceptance time, agreed version and declarations are recorded. Technical logs contain no message content or payment details.

Payments use Revolut’s protected checkout page with the methods available for the merchant account and transaction. PHOTRA stores the reference, amount, currency and verified status; card or online-banking credentials are not collected in the project form. For requested and necessary transactional emails, Brevo processes the recipient address, content and applicable documents. This does not subscribe you to a newsletter. Contractual retention and backups are separate from deletion of temporary forms.

Non-binding website inquiries directly to PHOTRA

You can contact Editions PHOTRA directly through “Start your website” or “Still have questions?”. This does not place an order or create a client account. Price, scope, duration, terms and payment are agreed separately. Our offers are for self-employed people and businesses acting for professional purposes. Existing orders and their terms remain unchanged.

The controller is Editions PHOTRA, M. A. Brucker. PHOTRA START and Online Business Starter share one inquiry form. Your offer preference can be changed until final submission; it is not an order. We store your offer preference, first and last name, email address, country and any optional company and message in the protected PHOTRA backoffice to respond and discuss pre-contractual steps at your request. With “Start your website”, you complete the project questions about your business, services, goals, design, languages, public contact details, domain preferences, scope and timing before submitting. After you complete the contact step, we store your started draft and subsequent saved steps for 30 days in the private administration area. “Save & continue later” requests a personal resume link via Brevo. Only with your separate voluntary consent do we send at most three reminders after 5, 10 and 15 days without editing. Resuming postpones pending reminders; submitting or unsubscribing stops them. Each reminder includes a clearly visible unsubscribe option. Consent time and notice version are recorded (Article 6(1)(a) GDPR); declining does not affect your inquiry. This temporary copy is deleted after expiry; submitted inquiries and subsequent contract records remain separate. Only the final submission is stored as a complete inquiry in the backoffice. This does not create a client account, order or production job. Required fields are marked *; the form cannot be submitted without them. Necessary pre-contractual processing is based on Article 6(1)(b) GDPR. The message is not automatically sent to AI or marketplaces. This does not subscribe you to advertising or newsletters.

A necessary session cookie, a session-bound security check and limited technical records protect the form. We store optional source information and limited campaign identifiers only with your voluntary, separately requested consent. Full referrer addresses, click identifiers and arbitrary URL parameters are not stored for this purpose. Declining does not affect your inquiry. You can withdraw this consent for the future through contact@editionsphotra.com.

Access is limited to PHOTRA staff handling your inquiry and service providers required for technical operations. Information is retained only as needed to handle the inquiry, any subsequent collaboration or necessary records. Contact contact@editionsphotra.com about access, correction, deletion, restriction, objection and, where applicable, data portability. You can complain to a competent supervisory authority, in particular the CNIL. Further details and our address are available in the general privacy notice and legal notice linked below.

Direct-inquiry notice version: 6 October 2026. The order-related sections below describe the existing client workspace, not this non-binding inquiry.

1. Supporting your order

This private PHOTRA START workspace supports an existing order for your professional or business activity. Registration and submission of a brief do not place an additional order. Prices, scope, payments, delivery, revisions and contractual agreements are governed by the associated order and the terms agreed for it. These portal terms do not change that order or our other PHOTRA services.

2. Your access and information

Keep your personal access details secure and do not share invitation or password links with third parties. Use a unique password that you do not use for other services. Provide accurate information and upload only images you are entitled to use for this purpose. Do not upload identity documents, passwords, payment details or sensitive personal information.

3. Review, changes and domains

Your original information is saved in versions. Additional wishes do not automatically expand the purchased scope. Please document changes and approvals as part of your order. Submitting a brief does not publish a website or register a domain. The exact domain, costs and registrant details must be agreed before registration.

4. Data processing in this workspace

The controller is Editions PHOTRA, M. A. Brucker; see the legal notice for the address and registration details. To provide access and fulfil the order, we store contact and business details, a secure password hash, project text, images, technical session data and an audit history. Necessary contractual processing is based on Article 6(1)(b) GDPR; necessary security measures are based on legitimate interests under Article 6(1)(f) GDPR.

Technical account emails, including verification and password resets, use our existing Brevo email service. This does not subscribe you to marketing. No Fathom visitor tracking is embedded in the private client workspace. Necessary session cookies secure sign-in and forms. In this first release, your project text is not automatically transmitted to an AI service. Any such extension requires updated information and a separate release approval.

Data is retained for order fulfilment, agreed operations and necessary statutory records. You can request account closure and deletion of data that is no longer needed, subject to statutory retention requirements and necessary records. You may exercise access, rectification, erasure and other data protection rights through contact@editionsphotra.com. See our privacy notice for further details, including recipients and complaint rights.

5. Separate AI-assisted draft preparation

PHOTRA can manually start Generation Engine V1 after providing prior information documented in the order. Selected information about your business name, industry, activities, audience, distinctive features, location, service area, services and website goal is then sent to the OpenAI API. Account details, contact fields, billing or payment details, domain preferences and uploaded images are not part of this transmission. Please do not include such information in your descriptive text either. Translation subsequently uses only the draft that has passed automatic factual and language checks. PHOTRA reviews it personally before customer release.

Submitting a brief does not start this processing automatically. Drafts and translations require review and are stored separately from your originals. This does not publish a website or register a domain. The information is documented before the first transmission; manual generation remains blocked without it.

6. Private website preview

An explicitly started generation job produces a bilingual private preview. A personal link valid for 14 days is released only after PHOTRA review. Do not share it with third parties. Section-level change requests are saved as drafts until you submit them together. Only this submission counts as a revision round under your order. Changes are not applied automatically; originals, approvals and version history remain traceable. Design approval does not publish a website or create another order. Preview contact forms do not send or store messages. There is no visitor tracking in the preview.

7. Publishing and operations

After separate approval, PHOTRA can publish the unchanged reviewed version on the confirmed customer domain. The customer remains the domain holder. Public website inquiries are stored within the respective customer account; verified account owners receive a technical notification through Brevo. Contacts are never merged across customer accounts. Permissions, privacy information and any necessary data-processing agreements for website operations must be settled before publication.

Optional basic analytics aggregate page views, language views, form views, successful inquiries and clicks on phone, email and primary actions only after explicit visitor consent. Visitors can decline or change their choice later. The contact form remains usable without analytics consent. Security and form cookies, limited technical health logs and short-lived verification keys support secure operations. Each customer website’s privacy information is reviewed separately before publication.

8. Contacts and multilingual communication

Contacts, inquiries and conversations are stored only within the respective START account. Received originals remain separate from translations and drafts. Individual replies are sent through Brevo only after your explicit send approval; reply addresses contain a protected routing token. Delivery and technical failure events are processed. Marketing campaigns and autonomous AI replies are not part of this service.

After separate activation by the account owner, the OpenAI API can detect message language, translate text on request and suggest replies. It processes subjects, message text and language codes, plus a limited conversation history and published business/services information for reply suggestions. Internal notes and contact fields are excluded; message texts may still contain personal information. The required lawful basis, information to data subjects and any processing agreements must be documented before activation. API requests do not request storage as a Responses object; this is not a promise of zero provider logging. AI results always require human review.

Internal notes are sent neither to contacts nor to AI. PHOTRA sees only metrics in the operations dashboard; access to communication content requires a time-limited support grant and a documented purpose. Contacts can be archived and administratively anonymized for a verified lawful reason. Statutory retention, backups and external providers require separate consideration. Limited source attribution is stored only after active analytics consent, without full referrer URLs or arbitrary query parameters.

9. Dashboard and optional weekly report

The dashboard separates business inquiries and contacts from consent-dependent website measurement. Recorded browsers are not unique people. Visitor and session association uses signed cookies and website-specific pseudonymous identifiers only after visitor consent. Full IP addresses, fingerprints and raw clickstreams are not stored for this measurement. Daily totals, limited sources and inquiry associations are activated only after a separate documented privacy and retention review. The specific periods and information must be reviewed on the customer website before activation. Marked internal reviews, previews and recognizable bots are excluded.

An optional weekly report can be enabled or disabled in the dashboard at any time. Brevo sends it only to the verified account address; it contains metrics without customer messages and is not advertising. A sent status may mean only handoff to the mail server. Authorized owners can export contacts as CSV; you are responsible for keeping the downloaded file secure.
